How To Create Signature Field In Pdf

Quick PDF Sign

Quick PDF Sign enables you to create your self-signed signatures and add the signature to the pages directly.

  • Open the Signature toolbar by one of the following:
    • Choose Tools > Signature.
    • Clickin the Common Tools toolbar, and choose Signature.
  • Click PDF Sign in the Signature toolbar.
  • In the signature creation window, do the following:
    • Select Draw tab to draw a signature.
    • Select Image tab to import an image of your handwritten signature.
    • Click Clear to remove the signature created, or click Done to save the created signature.
  • Move your mouse over on the document, and click on the place where you want to add the signature.
  • If necessary, drag any of the small rectangles on the border to resize the signature, or drag the signature to move it to a desired location.
  • Right-click the signature, and select Apply Signature to apply the signature.

Tip:

  • Once applied, the signature can no longer be edited or deleted.
  • The signatures you created will be listed in the PDF Sign drop-down list. You can choose the signature to sign PDF documents from the list. And if you want to delete the created signature, move your mouse over the signature in the PDF Sign drop-down list, and click the Delete button which is floated beside the signature.

Set Signature Preferences

By default, Foxit PhantomPDF Mac will sign documents immediately after you place the digital signature. To change the setting, please do the following:

  • Go to Foxit PhantomPDF > Preferences.
  • Select Signature in the Preferences dialog box.
  • Uncheck the Sign the document immediately after the signature is placed option.
  • Click OK.

Sign a PDF Document

  • Open the Signature toolbar by one of the following:
    • Choose Tools > Signature.
    • Clickin the Common Tools toolbar, and choose Signature.
  • Click Sign & Certify in the Signature toolbar, and choose Digitally Sign.
  • Press and hold the mouse button down, and drag to draw a signature field for your signature.
  • (Optional) If you choose not to sign document immediately after the signature is placed, click on the signature field you drawn to continue.
  • In the Select Certificate dialog box, select the digital ID file, specify the selection preference, and click OK.
  • A message box pops up to ask you if you want to allow the access to the keychain, click Always Allow or Allow to continue. And enter the password of your device to confirm the action.
  • In the Sign Document dialog box, do the following:
    • By default, Foxit PhantomPDF Mac will sign a PDF digitally using the standard signature appearance. You can click Create to create a new appearance. While creating a new appearance, check the options to specify what items you want to show in a digital signature.
    • Specify the reason, location, and contact information, if necessary.
    • If you want to lock the document to prevent further editing, check the Lock document after signing option.
    • Click Sign.
  • In the Save as dialog box, specify the file name and location, and click Save.

Tip: To sign a PDF with existing digital certificate, you need to add the digital certificate (s) in the Keychain in your Mac device first.

Validate Signatures

Signature validity is determined by checking the authenticity of the signature's digital ID certificate status and document integrity.

Set Signature Preferences

By default, Foxit PhantomPDF Mac will verify digital signatures when the document is opened. If you want to change the setting, please do the following:

  • Go to Foxit PhantomPDF > Preferences.
  • Select Signature in the Preferences dialog box.
  • Uncheck the Verify signatures when the document is opened option.
  • Click OK.

Validate Digital Signatures

To validate digital signatures, please do one of the following:

  • Choose Tools > Signature or click in the Common Tools toolbar and choose Signature to open the Signature toolbar. And then click Validate in the Signature toolbar to validate all the digital signatures in your PDF document.
  • Make sure you have selected the default tool mode, then click the digital signature directly to validate the selected signature. Also, you can right-click a digital signature and choose Validate Signature to validate the signature. After validation, you can check the validation status in the pop-up message box, and click Signature Properties to check the details of the signature properties.

Certify a PDF File

Foxit PhatomPDF Mac allows a PDF document author to certify his/her own PDF document to indicate the approval of its content.

  • Open the Signature toolbar by one of the following:
    • Choose Tools > Signature.
    • Clickin the Common Tools toolbar, and choose Signature.
  • Click Sign & Certify in the Signature toolbar, and choose Certify with Visible Signature or Certify without Visible Signature.
  • (Optional) If you select Certify with Visible Signature option, press and hold mouse button down, and drag to draw an area on the document where you want the signature to appear.
  • (Optional) If you choose not to sign document immediately after placing the signature in the Signature preference, click the signature field you drawn to continue.
  • In the pop-up Select Certificate dialog box, choose a digital ID, specify your selection preference, and click OK.
  • A message box pops up to ask you if you want to allow the access to the keychain, click Always Allow or Allow to continue. And then enter the password of your device to confirm the action.
  • (Optional) If you choose to certify a PDF document with visible signature, select the appearance type and specify the signing options in the Certify Document dialog box. Please refer to Sign a PDF Document for more information.
  • In the Permitted Actions After Certifying item, set authorized actions for your document from the drop-down menu.
  • Click Sign.
  • Specify the file name and location, and click Save to save the certified PDF document.
